POS User Gude – Retail Location & Discount Mapping


Item Location Mapping

Previously, items sometimes failed to scan at retail store POS because they were not mapped to the store after IBS loaded them to the ship.

Please note: The procedures outlined in this guide are intended exclusively for use with the shore instance of the POS system, not the ship instance. If you are uncertain about which instance you are accessing, refer to the screenshot below where the shore instance URL is highlighted. Additionally, after logging in, a red icon labelled ‘Shore’ will appear in the top left corner of the screen as confirmation.

  • Log in to the POS Shore System

  • Navigate to the retail mapping screen, highlighted below.

  • This directs you to the ship menu screen, where you can choose the desired ship from the right-hand dropdown menu. In the screenshot below, the total number of items corresponds, indicating that all items loaded into the POS have been mapped to the ship. No further action is required at this stage.

  • Click the Location Item Configuration tab.
  • The dropdown menu on the right is now used to select a location.
  • If the total number of items (at the bottom does not match, it indicates that some items exist in the ship but have not been mapped to the locations, so scanning these items at the POS will not register them.
  • To resolve this, select the checkbox to the left of the search bar to choose all items, then click assign. Do not select Bulk assign.

  • You will see that the total number of items on both columns now match, all newly loaded items should now work in that location.

  • This process should subsequently be carried out for each shop on every vessel, as required.

Discount Mapping


Additionally, there have been instances where Oceans discount has not applied for guests at the point of sale. This is usually the result of the item not being mapped to the discount, this guide will detail this process. 

Again, the procedures outlined in this guide are intended exclusively for use with the shore instance of the POS system, not the ship instance. If you are uncertain about which instance you are accessing, refer to the screenshot below where the shore instance URL is highlighted. Additionally, after logging in, a red icon labelled ‘Shore’ will appear in the top left corner of the screen as confirmation.

  • Log in to the POS Shore System

  • Navigate to the fleet discount menu

  • Locate Fleet Loyalty Discount and click the edit button. 

  • Items can be added individually by clicking the plus sign to the right of the item. Alternatively, if multiple items need to be added, then they can be selected by clicking the box to the left and clicking the ‘Add Selected Items’ button. 

  • Once the selected items have been added, the process can be completed by clicking the ‘Save Fleet Discount’ button. 
  • The fleet discount covers all Oceans levels across the fleet, so the process only needs to be done once for newly loaded items across the fleet. So for example, if Bolette receives a new item first, and then maps it to the discount, that item will not need to be mapped to the discount for Borealis and Balmoral.
